How to share meeting recaps/transcripts with teammates, attendees, specific user groups, external people or non-fireflies users

Want to share your Fireflies meeting notes with others—whether it’s your teammates, external clients, specific user groups, meeting attendees, or even people without a Fireflies account?
This guide shows you how to share recaps securely or publicly after the meeting is over, and explains which option is best depending on who you're sharing with and what kind of access you want to give.

1. Select the meeting recap you want to share from your Fireflies feed or your Fireflies Notebook

2. Click the "Share" button in the top right corner of your notebook

3. Choose who to share with from the pop-up window
🔗 Share with anyone using a public link
Anyone with the link: Generates a public URL accessible by anyone and is best for external sharing with clients, partners, or others
Note: This is the default privacy setting option for all meetings in Fireflies.
👥 Share within your workspace or with meeting participants
Teammates & Participants: Shares with everyone in your Fireflies workspace and all the meeting attendees (even external). Best for meetings that have both internal and external participants
Teammates: Makes the recap available to only members/ colleagues in your Fireflies workspace
Participants: Shares only with those listed as meeting attendees
Only Owner: Best for ultimate control & privacy - accessible only by the meeting owner. This will ensure that no one except you can see these notes.
“Teammates” = users in your Fireflies workspace. “Participants” can include external attendees who may or may not use Fireflies.

4. Private sharing options
Want more control over who gets to see your meeting notes? This is your go-to method when you're dealing with sensitive conversations or you want to limit access to just a few trusted people.
Let’s say you’ve already chosen a stricter visibility setting—like Only Owner—from your meeting settings. You can now layer on private invites to share it with select individuals or groups. Some use cases could be: Executive board meetings, Performance reviews or appraisals, Legal or confidential vendor calls.
📧 Share with Specific People (via email)
Enter their email under Specific People and click Invite
Fireflies will send them a secure link to the recap via email
Great for one-off access to external collaborators or specific leaders

👤 Share with User Groups
Select from available Fireflies user groups (e.g. “HR Team”, "Product Team", “Legal Reviewers”)
Everyone in that group gets access without needing to add them individually

5. Fireflies will send them a meeting recap to their email

6. Enable Seamless Public Guest Access (Business & Enterprise Plans)
Sometimes you want to make recaps available to people outside your workspace—like clients, stakeholders, or interview candidates—without requiring them to log in. This is where Seamless Guest Access comes in.
This feature is only available on Business and Enterprise plans, and it lets non-Fireflies users (guests) view shared meeting recaps directly through a public link—no signup or login prompts.
Don’t worry—sharing your recaps with guests or external viewers won’t use up extra seats or credits on your plan.

Individual User Control:
Each user can decide whether their public links require login:
Go to Settings > Meeting Settings.
Scroll down and find the Public Meeting Sharing section and toggle the switch ON (Blue) to enable seamless access for your public links. Toggle it OFF (grey) to require login
This setting only affects public links. It doesn’t override recap email delivery or internal teammate access.

Admin Control (Workspace-wide)
Admins can standardize how everyone in the workspace shares recaps with the public:
Go to Settings > Team Settings.

Scroll to Public Meeting Sharing and click the dropdown:
Allow teammates to choose: Each team member controls their own individual setting. Best Flexibility for team members.
Enable for all teammates: Turns seamless access ON for all public shares from the team; overrides individual settings. Choose this for standardizing open sharing across the team.
Disable for all teammates: Turns seamless access OFF for everyone; overrides individual settings. Guests will see login prompts on public links. Best for maintaining stricter access control across the team.
This overrides individual settings. Useful for organizations that want to standardize guest experience or tighten privacy controls.
