How to Integrate Folk CRM with Fireflies

Keeping track of conversations and contacts is easier when your meeting insights are automatically captured inside your CRM. With the Folk CRM + Fireflies integration, meeting notes, summaries, and key details are added directly to the right people and companies in Folk.
This helps teams keep records up to date, maintain context across conversations, and stay organized without manual data entry.

🔍 What Does the Folk CRM Integration Do?
Once connected, Fireflies sends meeting notes and summaries directly to the right records in Folk CRM.
Here’s what you can expect:

🔑 Prerequisites
Before connecting Folk CRM with Fireflies, make sure you have:
An active Fireflies account
A Folk CRM account with access to your workspace
Folk API key → You’ll generate this from Folk to connect it to Fireflies. Don’t worry, we’ll show you how get API key!
Once these are ready, you can connect Folk CRM to Fireflies in just a few steps.
🔐 Get the Folk API Key
Step 1: Log in to your Folk account and click Settings from the bottom-left menu.

Step 2: Go to the API Keys section and click New API Key to generate a key.

Step 3: Enter a name for your API key (e.g., Fireflies Integration) and click Create Key.

Copy the generated API key and keep it secure. You’ll need to paste it into Fireflies to complete the integration.
Make sure to copy and save your API key when it’s generated. You won’t be able to view it again once you close the dialog box.
🔗 Connect Folk CRM to Fireflies
Step 1: Log in to your Fireflies account, navigate to the Integrations page, and search for Folk. Click on it to get started.

Step 2: Click Connect to start the setup.

Step 3: Enter the API key you just copied, then click Authorize to connect your Folk account.

Once approved, you’ll be redirected back to Fireflies to configure your integration setup.

⚙ Setting Up Your Configuration
Step 1: Participant Management
Choose how Fireflies should handle people and companies in Folk CRM.
Create New Contacts from Meeting Participants → When enabled, Fireflies creates new people in Folk for participants who don’t already exist and adds notes to them; otherwise, notes are added only to existing people.
Map Notes to Associated Companies → When enabled, Fireflies also attaches meeting notes to the associated companies; otherwise, notes are added only to people.
After selecting your preferred options, click Continue.

Step 2: Test Connection (Create a Sample Meeting)
Before finishing setup, you can test if everything is working correctly.
Click Create sample meeting → Fireflies will send a test note to Folk
Open Folk and check a contact to confirm the note appears
Once verified, click Continue to complete the setup.

🧩 Additional Options – Integration Rules
By default, Fireflies sends meeting notes to Folk CRM for every meeting. If you want more control, you can use Integration Rules to decide which meetings get added.
Integration Rules are available on Business or higher plans.

🗂 All Meetings
Send notes from every meeting — calls, check-ins, or demos — with no filters applied.
📝 Meeting Title
Only send notes when the meeting title matches specific rules (Contains, Starts with, Equals, Doesn’t Contain).
Example: “Demo”, “Client Call”
👤 Meeting Host
Filter meetings based on who hosted them.
Equals → Only meetings hosted by a specific person
Not Equal → Exclude meetings hosted by a specific person
👥 Meeting Participants
Control which meetings are included based on attendees.
Contains → Include meetings with specific participants
Doesn’t Contain → Exclude meetings with certain participants
🎦 Meeting Type
Filter by meeting type.
Example: External → Only external meetings
🔀 Apply Multiple Filters
Combine rules for more precise control.
Example: Title contains “Demo” AND host is sales@company.com

You can view all the filters currently applied to your configuration. Fireflies will only send notes to Folk for meetings that match all the conditions you’ve set.
✅ Example applied: Title contains Interview, host = John, participant = Mary, type = External.

💾 Save Your Configuration
Click Save to activate the integration — a flash message will confirm that your configuration has been successfully added.

You can set up multiple configurations — for example, one for internal meetings and another for client calls.
👥 Team Options
Sometimes, you may not want every teammate creating their own Folk CRM configurations — especially if your team wants notes to be added in a consistent way. Team Options allow workspace admins to control how the integration is used across the team.
1. Click the vertical ellipsis (⋮) next to your Folk CRM integration and select Team Options.
2. A modal will show these options:
Apply to entire workspace → When enabled, meeting notes from team meetings accessible by the admin will be added to Folk, keeping everything centralized.
📌 Meetings set to private in a teammate’s Privacy Settings won’t be included unless you’re a Super Admin who can access meetings regardless of team privacy settings.
Restrict non-admin usage → When enabled, only admins can create or manage Folk configurations.
3. After adjusting the settings, click Save to apply the changes.

Use workspace-level settings for shared workflows, and personal configurations when individuals want to manage their own notes.
🛠 Manage Configuration
Over time, you may need to update your Folk CRM integration — for example, to rename a configuration, update rules, or remove configurations you no longer use. Fireflies provides a few simple options to manage this.
✏ Edit Configuration Name → Give each Folk configuration a clear, descriptive name so it’s easy to recognize. Click the configuration name (for example, Default Configuration), type a new name (such as Folk Meeting Notes), and click outside the field to save.

⚙ Edit Configuration Settings → Need to update your integration rules or settings? Click the vertical ellipsis (⋮) next to a configuration, select Edit, update the settings, and click Update to save your changes.

🔘 Enable or Disable a Configuration → Use the toggle next to a configuration to control it quickly. Toggle ON to send meeting notes to Folk CRM; toggle OFF to pause the integration without deleting it.

This is helpful if you have multiple configurations and only want one active at a time.
🗑 Delete Configuration → If a configuration is no longer needed (for example, you no longer want notes added to Folk CRM), you can delete it. Click the vertical ellipsis (⋮) next to the configuration, select Delete, and confirm.

Deleting a configuration stops Fireflies from sending meeting notes to Folk CRM, so make sure it’s no longer needed before removing it.
📤 How Notes Appear in Folk CRM
Once the integration is set up, Fireflies adds meeting notes to the relevant people in Folk CRM, and optionally to their associated companies based on your settings.
Each note includes the meeting summary, key discussion points, and a link to the full Fireflies transcript, helping your team quickly review conversations and keep records up to date directly inside Folk.

❌ Disconnect Integration
If you no longer need Fireflies connected to Folk CRM, you can disconnect the integration at any time.
Click Disconnect to remove the integration. Fireflies will stop sending meeting notes to people and companies in Folk.

Once disconnected, Fireflies will stop adding meeting notes to Folk. You can always reconnect later if needed.
